Contracting Your Wedding Reception Venue

If you are not familiar with legal terms or contracts, this all may sound a little intimidating. Don’t let it be! Most venues require a contract to be executed in order to secure arrangements for an event. A contract is exceedingly important, because it outlines the exact terms you are agreeing to with the venue. For an event as important as your wedding reception; you want to be confident that the contract reflects the deal points as you understand them, so you are not upset and frustrated later. At a minimum, the contract should cover:

1.  The day/date/time you will have the actual venue space for your event

2.  The name of the banquet room (space) you are reserving

3.  The expected attendance for your event

4.  Room rental cost and what it includes (if it is packaged or not)

5.  Applicable Sales Taxes / Service Charges

6.  Food and Beverage requirements

7.  Any other special considerations/concessions that you negotiated with the venue

It is of the utmost importance to voice any concerns you have, prior to signing the contract and paying the deposit for your event. A professional and reputable sales manager/venue will take the time to go over everything in detail if you have questions or concerns. I always encourage my couples (brides/grooms) to schedule an appointment to come in so we can sit down in person, and I can go over the contract with them in detail, to ensure everything is clear and understood.
